How to Nominate Vana Care as Your NDIS Provider in PACE

By the Vana Care team | 5 November 2024

If you've decided you'd like Vana Care to deliver your NDIS supports, there's one small piece of admin that makes everything run smoothly: recording us as one of your providers in PACE, the NDIA's computer system. It only takes a few minutes, and this guide walks you through exactly how to do it, what details you'll need, and what happens next.

Vana Care's provider details

When you record a provider, the NDIA will ask for the provider's registered name and number. Here are ours, ready to copy:

Detail Value
NDIS provider name Vana Care Pty Ltd
NDIS provider number 4050094069
Location Adelaide, South Australia

Vana Care is a registered NDIS provider offering community access, in-home support and supported independent living across Greater Adelaide and nearby regional SA. You can read more about what we deliver on our services page.

Do you actually need to do this?

It depends on how your plan is managed. PACE is the system the NDIA uses to manage participant plans, and it asks participants (or their nominees) to record their chosen providers, sometimes called endorsing a provider or listing your "my providers". Recording a provider tells the NDIA that you've chosen them, so claims for your supports can be paid without extra checks.

How your plan is managed Do you need to record Vana Care?
Agency managed (NDIA managed) Yes. Providers need to be recorded so their claims can be paid promptly.
Plan managed You need to record your plan manager. Recording Vana Care as well is optional but helpful.
Self managed No. You pay providers directly and claim back, so recording isn't required.

Not sure which one applies to you? Your plan will say, and our guide to self managed versus plan managed funding explains the differences in plain English.

How to record Vana Care as your provider

One thing that often surprises people: you don't log in to PACE yourself. PACE is the NDIA's internal system. As a participant, you record your providers by speaking with the NDIA or through the people who support your plan. Here's the process.

Step 1: Contact the NDIA

Call the NDIS National Contact Centre on 1800 800 110, or raise it with your my NDIS contact or local area coordinator at your next conversation. If you have a support coordinator, they can help with this step too.

Step 2: Ask to record Vana Care as your provider

Tell them you'd like to record Vana Care Pty Ltd, provider number 4050094069, as one of your providers (your endorsed provider) for the relevant supports in your plan. Have your NDIS number handy so they can find your plan quickly.

Step 3: Check it's been recorded

You can see your recorded providers in the my providers section of the my NDIS portal or app. If Vana Care appears there, you're all set. If something doesn't look right, the contact centre can fix it on the spot.

That's the whole process. You can change or update your recorded providers at any time, so you're never locked in.

Set up your service agreement with us

Recording us in PACE tells the NDIA we're your provider. A service agreement is the other half of the picture: it sets out, between you and us, what supports you'll receive, when, and at what price under the current NDIS Pricing Arrangements and Price Limits. If you'd like to understand what a good agreement should cover, our guide to your NDIS service agreement goes through it section by section.

Getting an agreement started with Vana Care is straightforward. Build a quote through our online quote builder at Get Support, tell us a little about the supports you're after, and our team will prepare a personalised service agreement for you to review and sign. No forms to download, and no need to email screenshots of your plan. If you'd rather talk it through first, call us on 08 7228 6202 or email hello@vanacare.com.au.

Why this small step matters

When your providers are recorded correctly, payments for your supports process smoothly and there are no awkward delays while the NDIA checks who's delivering your services. It also gives you a clear record of who you've chosen, which makes plan reassessments and any future changes easier to manage. If you're newer to the scheme, our NDIS overview covers how funding, plans and providers fit together.

Common questions

What if my supports have already started but Vana Care isn't recorded yet?

Don't panic. Claims for agency managed supports from a provider who isn't recorded can be delayed while the NDIA reviews them, but nothing is lost. Call 1800 800 110, ask for Vana Care Pty Ltd (4050094069) to be recorded, and things will catch up.

Can I change or remove a provider later?

Yes, at any time. Recording a provider isn't a contract, it's simply a note on your plan about who you've chosen. Speak with your my NDIS contact or call the contact centre to update it.

I'm self managed. Do I need to do anything?

No. Self managed participants pay their providers directly, so there's nothing to record in PACE. You can still set up a service agreement with us the same way as everyone else.

Can Vana Care record itself as my provider?

No, and that's by design. The choice sits with you or your nominee, which keeps you in control of who works with you. What we can do is talk you through the call beforehand so you know exactly what to ask for. Get in touch if you'd like a hand, and if your question is about something we don't deliver, like plan management, we can point you in the right direction.
